SUMMARY: The Executive Office Administrative Assistant is responsible for providing
administrative support to the Executive Office, Finance & Accounting, Legal, and Sales departments
by way of reports, policies and procedures and completes projects as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
* Assist in the timely management of communications; including written, telephone,
email, and voicemail.
* Manage and organize calendars by scheduling appointments, meetings, engagements and
daily activities.
* Serve as central point of contact for those communicating with the Executive Office, Finance &
Accounting, Legal, and Sales departments.
* Organizes and maintains file system, scans invoices/documents/resident checks for
electronic storage, and files correspondence and other records.
* Responsible for a wide variety of administrative support duties; including preparation of
agendas, reporting and preparation of presentations.
* Coordinates all travel arrangements and other business arrangements for the Executive Office,
Finance & Accounting, Legal, and Sales departments.
* Reconciles and coordinates corporate and personal credit cards, bank accounts, general
finances/budgets and prepares expense reports for the Executive Office, Finance & Accounting,
Legal, and Sales departments.
* Create, organize and update policies, procedures and the budget for the Executive Office,
Finance & Accounting, Legal, and Sales departments.
* Provide information about the company and answer questions relating to specific matters or take
notes and follow up with answers to direct to other areas.
* Organize and manage project files.
* Assist with various records requests, monthly report, letterheads, etc.
* Working hours may vary from day to day and project to project; must be flexible and willing to
work extra time during busy seasons.
* Perform other duties as may be assigned.

Qualifications

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each
essential duty atisfactorily. The requirements below are representative of the knowledge, skill,
and/or ability required.
* Minimum of 1-year experience in general office responsibilities and procedures.
* Proficiency with Microsoft Office applications.
* Ability to read and interpret documents. Ability to write routine reports and correspondence.
Ability to speak effectively before groups of customers or employees of organization.
* Ability to exercise good judgment and problems solve with minimal assistance.
* Strong analytical and organizational skills, exceptional time management skills, ability to
thrive in a fast paced environment.
* Attention to detail to ensure accuracy.
